Event Coordinator, CDL-Rockies

The Creative Destruction Lab-Rockies (CDL-Rockies) in the Haskyane School of Business invites applications for a Event Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The Creative Destruction Lab-Rockies (CDL-Rockies) is a cohort-based, university-linked, new venture mentorship program at the Haskayne School of Business. CDL-Rockies helps innovators transition from science projects to high-growth companies, inviting some of the world’s top, early-stage technology ventures to Calgary for this innovative 9-month program. After a rigorous application and selection process, the CDL-Rockies program engages senior entrepreneurial leaders, as well as noted scientists, economists, investors and graduate students in the support of new venture founders with a goal to prepare these founders for seed stage financing and accelerated growth.

Reporting to the Associate Director, Engagement, the Event Coordinator will work closely with all members of the CDL-Rockies team to execute a variety of special events. This includes (but is not limited to) the planning, coordination and execution of events supporting the recruitment of ventures, alumni events, and other stakeholder engagement events.

This position normally works Monday to Friday, 8:30 A.M. to 4:30 P.M, 7 hours per day (35 hours per week), although extended or alternative hours (evenings and weekends) and travel will be required based on the needs of CDL-Rockies. This position is required to maintain complete confidentiality regarding all business matters and to exercise a high degree of professionalism in the execution of their duties.

Position description: 

Summary of Key Responsibilities (job functions include but are not limited to):

  • Working closely and in collaboration with the Engagement Advisor to plan, coordinate and execute a variety of special events, both virtually and in person, for a variety of CDL-Rockies’ stakeholders
  • Advising on and coordinating all event logistics
  • Creating a budget and tracking expenses, managing the event to the budget
  • Managing all event RSVPs, calendar invitations, attendance lists
  • Providing excellent customer services to all involved stakeholders
  • Coordinating event debriefs and evaluation of event success
  • Make significant contributions to the CDL-Rockies Stakeholder Engagement strategy, including tracking KPI’s for reporting and strategy evaluation, and reviewing and analyzing stakeholder survey responses
  • Continuously seek to improve the CDL-Rockies’ stakeholder experience through new approaches or engagement opportunities and support the implementation of those improvements
  • Advise on and support the implementation and execution of various Stakeholder Engagement activities and initiatives, as required
  • Support the planning and preparation for CDL session days (4 times per year), either virtual or in-person
  • Fill a variety of session roles, including (in-person) attending the registration desk, interacting with external vendors (caterers, etc.), room setup; or (virtual) hosting small group meetings, digital check-in, or transcribing conversations into slack

Qualifications / Requirements:

  • A University undergraduate degree or equivalent in event planning and management and/or project management
  • A minimum of 3 years of full-time work experience, including experience coordinating high-quality, complex virtual and in-person events 
  • Experience with Salesforce (or a similar CRM system) 
  • Experience working with start-ups, technology accelerators, early-stage technologies companies, venture capital, or within an organization directly supporting early-stage or science-based technology 
  • Excellent computer skills including Microsoft Office applications, AirTable, and Slack 
  • Excellent communication skills (both verbal and written) and excellent listening skills
  • Ability to handle ambiguity and work effectively in a large, complex, dynamic and sophisticated organization
  • Demonstrated ability to manage multiple projects or priorities simultaneously, strong organization and problem-solving skills 
  • Demonstrated professionalism, tact and maturity in handling highly sensitive and confidential information ethically and with discretion
  • Must be a self-starter with the ability to independently move projects forward, prioritize tasks, and meet deadlines 
  • Strong interpersonal skills and ability to work both independently and as part of a team
  • Previous experience working within the non-profit sector, alumni relations, or in a donor relations capacity is an asset
